Committee File Naming Convention
Content Management System (CMS) Requirements
The following requirements for file names must be followed or you will be unable to add your document to the CMS:
- The file system is not case-sensitive, meaning that filename.pdf and FILENAME.pdf are considered the same.
- Maximum filename length is 128 characters.
- Characters NOT allowed:
- Special characters, such as !@#$%^&*(){}[]<>|~/
- Spaces
- Periods other than the one before the file extension (.pdf)
- Characters allowed:
- Upper- or lower-case letters (A-Z, a-z)
- Whole numbers (no decimals or fractions due to special characters)
- Hyphens (-)
- Underscores (_)
- The system removes hyphens and underscores from the file name and replaces them with spaces when displaying them as linked text on the committee webpage. Keep this in mind as you name your files.
Elements of Institutional Self-Evaluation Report (ISER) Naming Convention to Incorporate into Committee File Naming
Using the following ISER file-naming convention elements will allow for consistency among all committees and make the naming of evidence for ISERs easier, with few changes needed:
- Abbreviations for committee or document names, or descriptors (see chart on next pg.).
- You may want to include the agenda item for context, but that is not an ISER element.
- Describe/Title of the document/file. Use chart or these abbreviations or write out
since that’s the name of the link on a committee webpage and you have up to 128 characters.
- Document (doc)
- Minutes (min)
- Meeting (mtg)
- Workplan (wkpln)
- PowerPoint (ppt)
- Presentation (prez)
- Date of the event, meeting, or document creation or approval.
- Specific date example (with or without the zero, but zero will keep Oct-Dec after the other months; same for days of month): 09_12_24
- Academic year or range examples: 2024-25, 2023-26
- Semester examples: F24, Sp25, Su25
- Save all files as PDFs (.pdf).
